REGISTRATION PROCEDURES FOR THESIS AT UL

The organization of doctoral studies at UL is regulated by decrees No. 013/UL/P/SG/2017 and No. 014/UL/P/SG/2017 of February 17, 2017 which respectively set out the general provisions, access to doctoral studies, the preparation of the doctorate and sets the conditions and modalities for organizing the defense of a doctoral thesis at the University of Lomé.

First Registration

First registration

The first registrations for doctoral thesis at the University of Lomé take place each year at the Directorate of Research and Innovation (DRI). The registration dates are no longer published by the UL but a call for applications is launched each year by the DRI between September and October in order to allow candidates to apply for study of their files by the different doctoral training courses.

The call for applications, the list of documents to be provided, the first thesis registration form and the thesis supervision agreement are available on the University of Lomé website: www.univ-lome.tg. Candidates for registration for a thesis are invited to download the forms and to submit to the administrative procedure in force.

Prerequisites:

The candidate (student or employee) for registration for a doctorate at the University of Lomé must hold at least a research master’s degree or a diploma considered equivalent with at least one mention or general appreciation of the diploma “Sufficiently Good” and, be selected by doctoral training in the 8 fields of UL.

First stage

Before starting your registration, make sure that your subject is original and has not been the subject of research in the past, by referring to the list of theses at UL. The subject must fit with the priority research axes defined at the University of Lomé.

Find a research director authorized to direct research at the University of Lomé. Depending on the field covered by the subject, registration is possible with a maximum of two co-directors, except in the case of a special exemption.

In the case of co-direction, at least one of the directors must be from the University of Lomé. The list of teacher-researchers and researchers authorized to supervise a thesis is available from those responsible for doctoral training and from the DRI.

The candidate also has the possibility of registering both at the University of Lomé and in another higher education institution authorized to issue the doctoral degree and including doctoral training or doctoral schools, within the framework of a joint supervision agreement.

Second step

After printing the downloaded and completed form, have it signed by the thesis director and the head of Doctoral Training for the discipline in which you wish to register.

The application file submitted, during the submission period set by the DRI, includes the following documents:

a request for doctoral registration addressed to the President of the University of Lomé;

a completed first thesis registration form, approved by the director thesis and the head of Doctoral Training;

the completed thesis supervision agreement, signed by the director thesis and the head of Doctoral Training;

Certified copies of diplomas and certificates, university titles and degrees .

a complete CV;

a thesis project of no more than 5 pages including a summary, the problem, objectives and expected results;

copies of the cover page of the Master or DEA;

certificate from the director or possibly the co-director or co-supervisor;

the co-supervision agreement (if thesis is in co-supervision);

a Certificate of Employment for employees;

a copy of the bank receipt (file study fees ).

Third step

After the approval of the DRI,

Candidates must pass for submission to the DAAS. Candidates will also need to complete the documents listed below and submit them to DAAS.

the final registration and payment form (by the candidate )

a thesis committee proposal form (by the director of thesis)

 

Registration renewal

Re-registration is compulsory each year for each doctoral student (employee or student). Before each re-registration, the doctoral student submits to the DRI:

  • its report on the progress of research work signed and countersigned by the thesis director and the person responsible for doctoral training;
  • thesis point reports written by the thesis committee.

Re-registration is conditional on the favorable opinion of the DRI.

NB: in the case of foreign diplomas at the University of Lomé, obtain prior registration authorization issued by the Director of the DAAS to be attached to the file (information at Counter No. 2 for the creation of the approval file and obtaining equivalences).

 

Registrations for doctoral studies are annual and compulsory. They must therefore be renewed each academic year. In the absence of renewal, the student loses all rights attached to the status of doctoral student.

Modification of your thesis subject and change of thesis direction

Article 25: New directions that may intervene in the preparation of the doctorate, resulting in changes concerning the thesis subject, the thesis director and the addition of a thesis co-supervisor or a thesis co-supervisor additional, can be done during the first year of doctoral registration and at the latest during the second authorized registration of the doctoral student.

Changes that occur after this deadline will be subject to arbitration between the DRI and the DAAS.

The change(s) are reported and justified by letter addressed to the Director of Academic Affairs and Education, signed by the Director of Research and Innovation. The letter will also specify the new proposal(s).

After study, a response letter is sent to the head of doctoral training, by the Director of Academic Affairs and Education, allowing or not the continuation of the doctoral preparation.

The change(s) can only be made once during the preparation of a doctorate at the University of Lomé.

NB1: In the case of foreign diplomas at the University of Lomé:

You must first obtain registration authorization issued by the Department of Academic Affairs and Education (DAAS) which must be attached to the file. (Information at the Counter for compiling the approval file and obtaining equivalences).

 

NB2: The reference duration of doctoral preparation is six semesters or three academic years.

The minimum duration of thesis preparation is 36 months and the maximum duration is 42 months, always corresponding to three academic registrations at the DAAS.
